Document Type Privacy Policy |
Version 1.1 |
Effective Date August 27, 2026 |
1. Scope
This Privacy Policy applies to the Frontline Connect website, registration forms, participant and responder portals, AI-assisted check-ins, administrative dashboard, notifications, and related services operated by 22Mohawks Corp. and/or the Massachusetts Veterans Suicide Prevention Institute, as identified in the applicable program materials.
2. Information We Collect
- Registration and identity information, such as name, email, phone number, role, military service information, geography, and cohort information.
- Check-in content, session timestamps, AI-generated responses, classifications, safety tiers, session summaries, and engagement history.
- Assessment responses and scores when validated instruments are administered.
- Administrative records, including consent versions, approvals, access codes, account status, outreach, and audit logs.
- Technical information reasonably necessary to operate, secure, and improve the service.
3. How Information Is Used
- Provide AI-assisted check-ins, reminders, onboarding, and support navigation.
- Identify possible safety concerns and alert authorized support personnel.
- Support human follow-up, quality assurance, platform security, and incident review.
- Measure engagement, program performance, and outcomes.
- Conduct research only as permitted by applicable separate consent, IRB approval, agreements, and law.
4. AI Processing, Human Review, and Administrator Monitoring
All check-in messages are processed by automated systems. When elevated concern is detected, authorized support personnel may receive identifying information and relevant message content through approved notification channels, and a support team member may review the check-in and contact the participant. This human-review pathway is a core safety feature, not merely an exceptional disclosure. The full explanation of this process, and its limitations, is set out in the Emergency and Safety Disclaimer.
Administrator access. Separately from elevated-risk alerts, designated Frontline Connect application administrators have full access to chat logs and can monitor participant conversations, including in real time, for safety, security, quality-assurance, and operational purposes. This access is not limited to elevated-risk content and is restricted to personnel with a legitimate operational need.
5. When Information May Be Shared
- With authorized staff, peer supporters, clinicians, contractors, and technology providers who require access to perform approved duties and are subject to appropriate confidentiality and security obligations.
- To protect the participant or another person when there is a good-faith safety concern.
- As required by law, subpoena, court order, mandatory reporting obligation, or valid governmental request.
- With research collaborators only under approved protocols, data-use agreements, consent, and de-identification or limited-data safeguards, as applicable.
6. Research Data
Formal research use will be described in a separate study-specific consent. Test accounts, demonstrations, quality-assurance sessions, and researcher or student access should be flagged and excluded from participant analytics and research datasets. De-identified information may be retained for completed analyses where withdrawal is no longer practicable.
7. Data Security and Retention
We use reasonable safeguards designed to protect information. No system is perfectly secure. Retention periods depend on operational, research, contractual, legal, safety, and audit requirements. Access, including administrator monitoring access described in Section 4, is limited according to role and legitimate need and is subject to audit logging.
8. Your Choices and Requests
- Request access, correction, account closure, or deletion of eligible information.
- Withdraw from optional research without losing access to non-research services, when applicable.
- Ask how information was used or disclosed, including whether administrator monitoring access was exercised.
- Receive notice of material changes and provide renewed consent when required.
Requests may be sent to privacy@mvspi.org or another address identified in current program materials. Research questions may be sent to research@mvspi.org.
9. Children and Eligibility
Frontline Connect is not intended for children unless a specific, IRB-approved protocol and legally valid consent/assent process expressly permits participation.
10. Changes to This Policy
Material changes will be communicated through the website, platform, email, or renewed acknowledgment. Version history will be retained.
